The speed century is making us more and more addicted to technology and this means that we can’t live without it anymore. A lot of new applications and software are developed every day with the purpose of making our lives easier. We no longer have to write and store our documents using the old-fashioned way because everybody is turning their files into digital material.
Can we be sure that digitalization is a secure way to keep our documents?
New ways of creating files require new storing methods. Since digitalization is a world-wide tendency when it comes to storing documents, nowadays we can keep anything from photos, important business documents or academic requirements in the cyberspace.
This method is more efficient and fast, especially for working purposes, but concerning the modern threats we have to be extremely carefully when we handle these documents. We can easily lose them if some clumsy hands or malware deletes them or if they are hacked and stolen by vicious entities.
Threats are everywhere, so it’s important to protect our digital files as efficient as possible. Cyber-security is a delicate area, but we can have the best results if we follow some simple steps.
- Sensitive data should be identified and stored accordingly;
- We should perform files back-up on regular basis. In this case we have a copy of each document, in case we accidentally lose it;
- Our passwords should be as complicated and different as possible;
- Inform your staff about the importance of handling vital information with extreme care and by following all the online data security protocols;
- Don’t let many people see the data;
- Encrypt your data. This way hackers would be under the impression that it’s not worthy enough for trying to breach it;
- Have assessment meetings with your staff and analyse the weaknesses from your online data storage system. Try to find solutions as fast as possible;
- You should keep a track of all the hard drives that are being plugged into your system. Even a piece that seems harmless can carry a virus and destroy your entire system.
- It’s important to trust your staff and yourself. All of you are a team and should act like one in every circumstance.
